Man and Van Harrow Health and Safety Policy
Man and Van Harrow is committed to providing removal and transport services in a manner that safeguards the health, safety and welfare of our employees, contractors, customers and members of the public. This policy sets out our approach to managing health and safety risks associated with domestic and commercial moves, loading and unloading, driving, and related activities.
Policy Statement
Our aim is to prevent injury, ill health, damage to property and harm to the environment arising from our activities. We will take all reasonably practicable steps to ensure that our services are carried out safely, efficiently and in accordance with applicable health and safety legislation and industry good practice relevant to removal and transport operations.
Health and safety is an integral part of our business planning and decision making. We expect all staff and contractors representing Man and Van Harrow to follow this policy and any accompanying procedures or instructions.
Responsibilities and Accountability
Overall responsibility for health and safety rests with the company management, who will provide leadership, resources and support to implement this policy. Management will review this policy periodically to ensure it remains effective and appropriate for the scale and nature of our operations.
Supervisors, team leaders and drivers are responsible for day-to-day implementation of health and safety measures on jobs, including the safe organisation of loading, unloading and transportation activities, and the correct use of vehicles and equipment.
All employees, including temporary staff and regular subcontractors, are required to:
Work safely and follow all instructions, risk assessments and safe systems of work.
Use vehicles, tools, lifting aids and personal protective equipment correctly.
Report hazards, near misses, accidents and any defects in vehicles or equipment immediately to management.
Cooperate with training, supervision and any health and safety initiatives or investigations.
Risk Assessment and Safe Systems of Work
We will identify and manage significant risks associated with removal operations. This includes, but is not limited to, manual handling of furniture and boxes, use of trolleys and lifting aids, working in stairwells and confined spaces, vehicle movements, loading and securing loads, and working at customers premises.
Risk assessments will be carried out and reviewed on a regular basis. For each job we will consider access routes, parking and loading arrangements, the nature and weight of items to be moved, potential trip and fall hazards, and any special risks such as fragile items or restricted spaces.
Safe systems of work will be developed and communicated to staff, covering steps such as planning loading sequences, using team lifts for heavy or awkward items, avoiding overreaching, and maintaining clear walkways. Staff are expected to follow these systems and to stop work if they believe conditions have become unsafe.
Manual Handling and Use of Equipment
Manual handling is a core part of removal activities and is a key focus of our health and safety arrangements. We will minimise manual handling risks by:
Planning jobs to reduce unnecessary lifting and carrying.
Using appropriate equipment such as sack trucks, dollies, straps and blankets.
Ensuring items are broken down into manageable loads where possible.
Providing training in correct lifting techniques and team handling.
Staff must not attempt to lift or move items that are beyond their capability, or to carry loads on stairs or through tight spaces without adequate assistance. Any damaged or faulty equipment must be withdrawn from use and reported immediately.
Vehicle Safety and Driving Standards
The safe use of vehicles is essential to protect our drivers, passengers, other road users and the public. We will ensure that vehicles used for removal services are suitable, maintained and inspected regularly. Drivers are responsible for carrying out basic pre-use checks, reporting defects and not using vehicles that are unsafe or unroadworthy.
All loads must be packed and secured to prevent movement during transit, taking into account the weight, size and fragility of items. Walkways, doors and emergency exits within the vehicle must be kept clear, and doors must be secured before moving off.
Drivers must comply with road traffic laws, speed limits and parking regulations. They must drive with care and consideration, particularly in residential streets and busy service areas, and must not drive under the influence of alcohol, drugs or any medication that impairs their ability to drive safely.
Working at Customer Premises
When operating at customer homes or business premises, we will take reasonable steps to protect both our staff and the occupants. This includes:
Assessing access routes, steps, lifts and corridors for hazards.
Using floor protection where appropriate to reduce slip and trip risks.
Communicating with customers about any hazards, obstructions or special handling needs.
Keeping exits and pathways as clear as reasonably possible during the move.
We will treat all premises with respect, avoid unsafe shortcuts and maintain professional conduct at all times.
Training, Information and Supervision
We will provide relevant health and safety training for all employees, appropriate to their role. This may include induction training, manual handling techniques, safe loading and unloading, use of equipment, basic first aid awareness and incident reporting procedures.
Information about specific risks and precautions will be given before or during each job as necessary. Supervisors will monitor performance and compliance with safety procedures and provide guidance and feedback to promote continual improvement.
Accident, Incident and Near Miss Reporting
All accidents, injuries, vehicle incidents, property damage and significant near misses must be reported to management as soon as possible. We will record and, where required, investigate all such events to identify root causes and put in place corrective actions to prevent recurrence.
Staff are encouraged to raise any health and safety concerns or suggestions for improvement without fear of criticism or reprisal.
Health, Welfare and Fitness for Work
We recognise the importance of our staff being physically and mentally fit for work, especially where driving and manual handling are involved. Employees must inform management if they are unfit to work safely due to illness, injury, fatigue or medication. Where appropriate, we will make reasonable adjustments to duties or schedules to protect health and safety.
We will provide suitable welfare arrangements where reasonably practicable, including access to drinking water, rest breaks and sanitary facilities during longer jobs and journeys.
Review and Continuous Improvement
This Health and Safety Policy will be reviewed periodically and whenever there are significant changes to our operations, legislation or identified risks. We are committed to continuous improvement in our health and safety performance and will use feedback from employees, customers and incident investigations to refine our procedures.
By working together and following this policy, Man and Van Harrow aims to deliver reliable and efficient removal services while maintaining a safe environment for everyone involved in or affected by our activities.
